Trust Administrator

Boston

Goulston & Storrs, an Am Law 200 law firm, is seeking an experienced Trust Administrator to join our thriving Private Client & Trust Group to manage all aspects of ongoing administration of assigned Trust relationships.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Primary Responsibilities:

  • Regularly review and understand various types of trust instruments.
  • Manage assigned trust relationships including all aspects of opening, administering, and closing of trust matters and provide support to attorneys.
  • Responsible for identifying and reporting compliance related matters within Trust & Fiduciary Services as well as assisting with the management and mitigation of risk.
  • Understand the nuances of the discretionary review process and participate in such evaluations.
  • Process investments, facilitate gifts make distributions and bill pay servicing.
  • Communicate with clients regarding cash needs and bill payment.
  • Contribute to the fostering of a strong team oriented positive culture.
  • Work effectively with multiple office departments following established procedures, ensuring high quality completion of client and trustee requests.
  • Support and provide backup during periods when other team members are away from the office.
  • Effectively manage multiple on-going projects, coordinate processes and successfully prioritize multiple tasks with good judgment.
  • Be readily available for client and trustee requests and inquiries.
  • Other duties as assigned.

EDUCATION/EXPERIENCE:

  • Bachelor’s degree from accredited college or university required. Additional educational certifications such as CFP®, CTFA encouraged.
  • At least 5 years’ experience working within a Trust department, with exposure to working directly with trustees, settlors and beneficiaries on trust matters and demonstrated track record of understanding all the components of trust administration.

Estate Administrator

Goulston & Storrs, an Am Law 200 law firm, has an immediate need for a motivated, analytical and detail-oriented Estate Administrator, responsible for administering several large and complex estates. The individual will have a Bachelor’s degree or equivalent with 5 or more years of estate administration and trust experience, preferably in a law firm or professional services organization, as well as knowledge of estate planning techniques and tax laws relevant to estate administration.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Responsible for all aspects of estate administration;
  • Prepare and file Probate Court documents;
  • Prepare and file Federal and Massachusetts estate tax returns;
  • Collect assets, value assets, transfer property to beneficiaries, prepare probate accountings, and fund formula distributions to marital and exemption trusts
  • Be a reliable, responsive, confident resource to attorneys, fiduciaries and family members throughout the estate administration process;
  • Monthly responsibilities include careful review of client statements.  These statements require accuracy and consistency of details; and

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Familiarity with all aspects of estate administration;
  • Extensive knowledge of Federal and Massachusetts estate tax laws;
  • Our estate tax program, GEMS;
  • Skilled in working closely with attorneys both in-house and externally;
  • Project management skills; the ability to prioritize multiple deadlines and deliverables; and
  • Additional strong technical skills, including Microsoft Word and Excel, to create various legal instruments, reports and calculations as required by clients.

Billing Specialist

Goulston & Storrs, an AmLaw 200 law firm, is seeking a motivated, detail oriented and customer service focused Billing Specialist to join our team.  This position is responsible for the timely and accurate processing of all aspects of the monthly billing cycle including: preparation of pre-bills, posting bills for assigned billing attorneys or clients (including electronic bill submission), producing reports on request, and managing the WIP inventory.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Meet with assigned attorneys and /or Legal Administrative Assistants on a monthly basis to review WIP;
  • Create monthly and on-demand pre-bills;
  • Prepare, review, edit, and post all billing for assigned attorneys or clients;
  • Apply on account fees, on account disbursements, and retainers;
  • Prepare and submit electronic billing through specified e-billing systems;
  • Assist with creating new and editing existing bill groups;
  • Prepare reports relative to time, hours, etc. upon request;
  • Assist with the opening of new matters for assigned attorneys; and
  • Assist with other projects as requested.

Legal Talent Specialist

As a key member of an integrated Legal Recruiting & Professional Development Team, the Legal Talent Specialist will play a central role in legal recruiting, onboarding, integration, training and development of lawyers across the firm, incorporating diversity and inclusion into all aspects of the role.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Work with the Senior Director of Legal Recruitment on all aspects of the lateral partner recruitment process including the firm’s strategic Corporate Growth Initiative;
  • Work with the Senior Manager of Legal Recruitment to run the firm’s on-campus interview (OCI) program in support of the firm’s summer associate program;

  • Serve as liaison to Practice Group Leaders and the Pre-Directorship Review Committee to organize and implement all aspects of the bi-annual evaluation meetings for Associates, Senior Attorneys, and Counsel including related planning and follow-up;
  • Work with the Senior Manager of Talent Development to implement practice area and firm-wide training curricula, taking ownership of logistics, in collaboration with the IT and Facilities Departments;
  • Collect and analyze feedback regarding in-house and external training seminars and recommend program enhancements based on feedback;
  • Support firm lawyers with mandatory CLE requirements by understanding and keeping up-to-date on CLE guidelines and requirements in jurisdictions where lawyers are licensed and assisting lawyers with compliance;
  • In collaboration with Senior Manager of Talent Development, use specialized knowledge to review course materials for NY CLE compliance;
  • Work with the Director of Talent Development on associate career development, including external coaching and implementing the firm’s Individual Development Plan process, including collecting and analyzing feedback and recommending enhancements;
  • Work with the Director of Talent Development and Flexible Work Mentors to administer the firm’s Flexible Work Program;
  • Support Legal Talent team members in preparing responses to industry surveys and Requests for Proposals from clients;
  • Work with Legal Talent team members in supporting and implementing the goals of the Attorney Development Committee;
  • Collaborate with Legal Talent team members and firm business operations leaders on lawyer orientation, integration and departures to enhance processes and materials and ensure smooth transitions;
  • Maintain Legal Recruiting database and provide analytical reports and statistics regarding law firm and law school information as needed; and
  • Work on special department or firm projects as needed.
